
Are you our new Inbound and Host Family Coordinator?
The Inbound and Host Family Coordinator will be responsible for the smooth and successful running of our inbound exchange programme, ensure placement of our inbound exchange students with suitable host families, provide support to programme participants throughout the exchange cycle, and work closely with the National Director and local volunteers.
This is a part-time position (up to 25 hours per week), offered as a 1-year fixed-term contract linked to the 2021/2022 inbound cycle, starting on 01 September 2021. The candidate will be required to participate in induction meetings, as well as programme and volunteer activities (subject to availability) prior to the official start date of the position (travel expenses will be reimbursed). The candidate will work remotely and report to the National Director (based in Cape Town).

Requirements
- Based in Pretoria, Johannesburg or the greater Gauteng area
- 3+ years of experience working in the youth exchange, volunteer, non-profit or education sector (or a related field)
- Good working knowledge of MS Office (Word, Excel, PowerPoint, Outlook etc.)
- Good networking skills and existing personal and professional networks
- Valid driver’s license and own transport
- Able to work from home and to attend meetings in the broader Gauteng area
- Excellent verbal and written command of the English language
- Knowledge of other languages (especially South African languages) preferred
- Bachelor’s degree in a relevant field, or equivalent combination of education and work experience
- Prior experience with international exchange or volunteer programmes (e.g. as a participant, host family or volunteer)
- South African citizenship, permanent residency, or valid work permit
Job description
- Actively recruit host families through developing and conducting outreach and communication campaigns to promote the host family programme across various cities and provinces, e.g. at schools, in community groups, and through personal networks
- Establish, cultivate and maintain relationships with past, current and prospective host families and volunteers
- Coordinate the successful and timely placement of each cohort of international exchange students with suitable host families
- Guide prospective host families through the application, selection and preparation process, including assistance with the application form and additional documents, conduct home visits and virtual meetings, as well as info webinars and local info events
- Regularly update and maintain the host family contact database
- Assist with the collection and submission of visa documents to our international YFU partner organisations
- Coordinate the arrival and departure of international exchange students
- Oversee and coordinate the network of placement support persons for inbound students and host families, ensure timely submission of monthly reports on students and host families ensure regular and clear communication with volunteers in the placement support person network
- Coordinate and facilitate counselling visits (in-person or virtually) with students and host families in collaboration with placement support persons where required
- Assist with the organisation and implementation of local events, such as orientation camps, volunteer trainings, and marketing events, in close collaboration with local volunteers
- Assist with the coordination and implementation of intercultural workshops for schools, volunteers and youth
- Ensure timely and accurate reporting to the National Director and the Board on a regular basis
